Dear Parents / Carers

ENGLISH CHESS CHALLENGE - FINALS’ DAY: MONDAY 29 AUGUST 2011         

If you have received an email from us inviting you to read this page, it is the official invitation for your son/daughter (as listed on the finals' page) to enter for the final of the 2011 English Chess Challenge. These are people who have qualified as a result of:

*    Scoring 11 points or more in their "Swiss" system semi-final tournament. 
*    Being in the top half of an all-play-all semi-final for their age group.
*    Being one of the top 2 in the semi final in an age group that was merged with another age group for pairing purposes.

Entries will be on a first come, first served basis.  Places are limited and CCF cannot accept responsibility for anyone trying to enter at the last minute who cannot get a space.  CCF reserves the right to regulate the last few entries to try and ensure sections have enough players in them.

This schedule has been set to allow time between rounds.  However, if we can accelerate ahead, we will do so as this will allow us the time to arrange play-offs where appropriate before the advertised prize giving time, which is flexible.

GENERAL INFORMATION

All players will be required for all rounds - a half point bye in rounds 1-4 might be possible depending on the format of that section.

Rounds are scheduled for 25 minutes each on the clock.

CCF have the normal insurance to cover for their public liability. However, please note that, although CCF will do their best to supervise players on the day, legal responsibility for the safety of your child is yours and not CCF’s. Your child’s school and your child’s trainer cannot be held liable for the safety of your child.

Players and parents are reminded that the playing hall is strictly out of bounds except for those still playing.

There will be a chess book & equipment stall (they do other things as well!) here during the event.

CONDITIONS OF ENTRY - ANY ENTRY TAKEN IS DONE SO ON THIS BASIS OF AGREEMENT TO THIS INFORMATION

THE FINALS' DAY PAGE WILL BE CONSTANTLY UPDATED AS PLAYERS ACCEPT AND REJECT PLACES.  PLEASE NOTE THAT A PLACE IS NOT CONSIDERED AS ACCEPTED UNTIL PAYMENT IS RECEIVED AND CLEARED.





VENUE: 84-90 Chipstead Valley Road, Coulsdon, Surrey. CR5 3BA

PARKING - We recommend the Lion Green Road Car Park. The back part of the car park is cheaper than the front and also cheaper than the bays outside the venue.  Please note that the new A23 Coulsdon Bye-Pass is now open and this is not shown on the map.  Please take notice of the information listed under the map in this regard.

TRAINS - Any trains to Coulsdon South or Smitham station give you around a 6-7 minute walk to the venue. Both Stations are clearly marked on the map.

BUSES - The 166 and 498 pass the venue. The 60 comes into central Coulsdon. Do not take buses to Old Coulsdon unless you know it comes through Coulsdon town centre as well.

VENUE ADDRESS - this is the same address as at the top of this letter. The venue is almost in the centre of the map and has an arrow pointing at it.

CONTACT - 020 8645 0302 is the number of the CCF office and should be used in the event of a late arrival.

 

HOW THE EVENTS WILL RUN
In principle, boys and girls play separately and also in the different age groups as follows:

Under 18    Dates of Birth from  1 September 1991 to 31 August 1993
Under 15    Dates of Birth from  1 September 1994 to 31 August 1996
Under 13    Dates of Birth from  1 September 1997 to 31 August 1998
Under 11    Dates of Birth from  1 September 1999 to 31 August 2000
Under 10    Dates of Birth from  1 September 2000 to 31 August 2001
Under 09    Dates of Birth from  1 September 2001 to 31 August 2002
Under 08    Dates of Birth from  1 September 2002 to 31 August 2003
Under 07    Dates of Birth from  1 September 2003 to 31 August 2004
Under 06    Dates of Birth from  1 September 2004 and after

However, CCF reserves the right to merge sections as appropriate, although this will only be for pairing purposes and will not remove any trophies and medals due to be presented for what turns out to be a  smaller section.

Where numbers allow (ie 7 or more), each section will be run on a Swiss system basis.  Players are paired round by round against someone they have not already played (primary rule) who is on as close a score to them as possible and in order to try and balance the colours played as much as the rules allow.  Where players are tied at the end, progressive score decides the winner (this is done by adding the score each player had after each round and the higher score wins).  Failing this, a reverse colour play-off is played.

Where numbers are limited, we run all-play-all formats. The tie break is the result of the direct match(es) or else play-off games are arranged.  
*    6 players - a 5 round tournament is easy to arrange with everyone playing everyone else.
*    5 players - a 5 round tournament will see everyone play everyone once with players sitting out 1 round each. 
*    4 players - a 3 round all play-all, followed by 2 rounds on a Swiss system with reverse colours.
*    Less and we look to merge, but this may happen with higher numbers anyway because of small adjacent sections.   

OTHER GENERAL INFORMATION
Medals:
Every child playing will be presented with a medal, but only if they stay and receive it at the prize giving. We consider the prize giving as important a part of the event as the playing and expect every player to remain for it. We will not normally pass on medals to friends or hand them out early or via schools.
Refreshments: Hot and Cold Drinks + Tuck Shop.  We do not do hot and cold prepared food.
Clothes: As far as CCF is concerned, players can wear what they wish.
Advise us: of any medical conditions you feel we should be aware of in respect of your son/daughter.
